Privacy Policy

At MindHUB, we value your privacy. This policy explains, in plain terms, what information we collect when you use our website (themindhub.co), our member dashboard and our physical spaces, why we collect it, how we use it, and your rights. 1. Information we collect
When you submit a tour or membership request, we collect your name, surname, email, phone, company name and chosen location/plan. Once a membership is active we add billing address, tax info and bank/payment data. Throughout membership we keep card-access logs, room reservations, event attendance, mail/courier delivery receipts and customer requests. When you browse our website, standard log data such as IP address, browser type, pages visited and session duration are processed under our cookie policy.
2. How we use this information
Primarily to serve you: coordinating tour requests, preparing contracts, issuing invoices, provisioning card access, managing reservations, tracking your meeting-room quota. Secondly to run the community: member-only event invitations, monthly member newsletters, service announcements. Thirdly to improve service quality: anonymised usage analytics, member-satisfaction measurement, fraud prevention.
3. Cookies — short summary
Our website uses cookies for session management, language preference, cart memory, analytics and (with your explicit consent) marketing. For the full list of cookies and the interface to manage your preferences, please refer to our Cookie Policy.
4. Sharing with third parties
We do not sell, rent or trade your data. To deliver our service we work with partners: payment providers (iyzico, Stripe), cloud infrastructure (AWS Frankfurt, Google Cloud EU), e-invoice integrator, independent accounting, email delivery infrastructure (Postmark/Resend) and analytics (Google Analytics, aggregate-only). Each partner has a written Data Processing Agreement (DPA). Where legally required, limited and proportionate disclosure may be made to competent public authorities.
5. Security
We apply industry-standard measures to protect your data: TLS 1.3 in transit, AES-256 at rest, 2FA on the member dashboard, SSO + Principle of Least Privilege on critical systems, annual penetration tests and regular backups. We are ISO 27001 certified; SOC 2 Type II is in progress. No system is 100% secure; should we detect a breach we will notify the KVKK Board and affected members within 72 hours.
6. Children's privacy
MindHUB products and services are designed for professionals aged 18 and above. We do not knowingly collect data from anyone under 18. If we learn that we have collected data from a person under 18, we will delete that information as quickly as possible; to notify us: privacy@themindhub.co
7. Data retention
Your membership data is retained for 10 years from contract termination (per tax law). Inactive tour requests are deleted after 12 months. Event photos for 3 years, CCTV for 30 days, marketing lists until consent is withdrawn or 5 years. Detailed retention periods are listed in our KVKK Notice.
8. Your rights
You have the rights to access, correct, delete and object to processing of your data, plus data portability. You may unsubscribe from marketing communications with a single click. 9. Policy changes
We may update this policy from time to time. Material changes will be announced on the member dashboard, by email to the address on file, and on this page at least 30 days in advance. The 'Effective date' line shows the last update. Continuing to use the service after changes constitutes acceptance of the updated policy.
